Board Meeting Information & Conduct
The regular monthly business meeting of the Village of Jefferson Board of Directors is an open meeting where all residents are welcome to attend but is specifically not an "open forum" or "town hall" type meeting. All business to be heard must be formally placed on the official business agenda beforehand.
Proper Conduct:
The following rules of conduct will be strictly enforced to ensure we can complete our business at hand in an orderly fashion. Failure to follow the rules may result in the offending party or parties being removed from the meeting and/or the police being called to physically remove the offender(s) if necessary; possibly banned from future meetings; the meetings being ended or closed to the public (subdivisions are not subject to the Sunshine Law). Our meetings are video recorded and disruptions entered into the meeting minutes on the advice of the Jefferson County Sheriff’s office for possible prosecution, if necessary.
- No one will be allowed to interrupt, question or disrupt the official business meeting
- There is a zero tolerance policy against personal attacks, threats or abusive language or demeanor towards any board member, administrator or other resident. Offenders will be immediately removed and may be banned from future meetings
- No neighbor to neighbor issues will be heard.
- You must be scheduled on the agenda of official business beforehand to present a topic, issue, comment or question.
- Requests to be heard must be made in writing and mailed to the VOJ office, postmarked no later than ten (10) days before the next scheduled monthly meeting. Requests are limited to one topic, issue or question per resident per agenda with a three (3) minute time limit. Not all requests will be granted. For example, if a topic has been addressed before, it will not be allowed on the agenda again (subject to board discretion.)
- A fifteen (15) minute open forum may be held only at the end of the formal business agenda if time permits. It's at the board's sole discretion whether to stay at the conclusion of the formal business agenda as each board member present must stay for the duration. Only questions or comments pertaining to that night's business agenda will be allowed. If you want an off-topic addressed, you must make a formal written request for it to be put on the next month's formal business agenda. See #5 above.
As it is the board's intent to conduct each monthly meeting professionally and as efficiently as possible, we appreciate the understanding and cooperation of everyone in attendance.
